Scan, import, identify, store and share documents quickly and easily with ccScan for Salesforce®. Salesforce Content, Salesforce Documents and Salesforce Attachments are all supported. ccScan is a production quality scanning application with features found only in more expensive document capture systems. Scan documents with any TWAIN scanner without any page or volume charges.
Because ccScan scans directly to Salesforce Contents, Salesforce Documents and Salesforce Attachments, you can eliminate manual steps like scanning locally, naming the document, creating a folder (in Salesforce Documents), uploading the document to Salesforce, and finally editing the Salesforce properties of the document such as description and keywords, or entering values in the custom fields defined in the Content Type of a Salesforce Content library.
Instead, ccScan does all of this in an efficient, single-step operation that is fully automated. Scan directly to Salesforce for a fraction of the cost of most other capture applications with only some of this capability. If you regularly scan documents that reside in Salesforce, ccScan will save you precious time.
ccScan provides highly efficient features for scanners with a large document feeder: separate multi-page documents automatically with barcode pages included with ccScan or create your own. Each resulting document can be uploaded to a specific library in Salesforce Content, a specific folder in Salesforce Documents or as a Salesforce Attachment. Use zonal OCR with the optional OCR Engine to automatically populate input fields such as description and keywords with text extracted from selected portions of the scanned image. Permanently redact or annotate the pages of a document before storing the document.
In addition to selecting a Library in Salesforce Content, ccScan supports any of these Salesforce Content settings which can be applied to directly scanned or imported documents:
Note that ccScan can optionally create links to documents stored in Salesforce Content in Account, Contact, and Opportunity records.
Along with selecting a Library in Salesforce Documents, ccScan supports the following Salesforce Documents settings which can be applied to scanned or imported documents:
Finally, with ccScan you can also scan or import documents as Salesforce Attachments to one or more Account, Asset, Campaign, Case, Contact, Contract, Event, Lead, Opportunity, Product, Solution, or Task records. The following settings can be applied:
Document name and input fields can be entered explicitly or fully automated through macros and/or barcodes. During Job setup choose input fields the operator should enter and hide those of no interest.
Save scanned documents in industry standardized PDF formats. For everyday documents use the normal PDF format. For long term preservation to guarantee future viewing use archive quality PDF/A-1b. Use ccScan's optional OCR engine to convert scanned images to PDF with searchable text yet retain original document appearance.
ccScan provides powerful Bulk Importing. Bulk Import uses wildcards to select document names and/or file extensions from a local folder. Subfolders may be traversed recursively to select all applicable files for import into Salesforce Documents. For example, you may select TIF or GIF files with the letter X in the second filename position by using a wildcard specification of ?X*.?if and enable Recursion. ccScan will navigate all folders below the initial folder and import all files meeting the wildcard specification. Import any PDF, JPEG, TIF, PNG, BMP or DCX document types as well as any other file format accepted by Salesforce.
When Startup Wizard is complete, ccScan is ready-to-use with a set of default jobs. Jobs can easily be customized to process recurring scanning or import tasks with minimal clicks to save time and reduce the potential of input errors. On a per-job basis decide which scanner and import fields the user should enter and set the defaults for these fields as well as for fields that are not shown.
ccScan does not store any Salesforce login credentials such as user names, passwords and authorization tokens. ccScan's built-in AES encryption technology protects the contents of scanning and import jobs. Files and settings are transferred to Salesforce with SSL enabled to encrypt transmissions.
A password-protected setup mode is provided to allow administrators to manage creation and setup of all jobs for users to run. For smaller operations typically the administrator and the user are the same person. A daily audit trail is maintained to keep track of all scanning and import activity.
